Processing of personal data when providing the website
This statement contains information for the data subject (natural person) in accordance with Articles 12 and 13 of the EU Data Protection Regulation (EU) 679/2016. This notification is given to the data subject when personal data is collected from him.
Security of processing
Persons handling data are subject to confidentiality and are bound by a non-disclosure agreement. The obligation to not disclose any data continues after the end of the service relationship. Only those persons who need to process data in their work have access rights to the systems.
All those who process the data are bound by a confidentiality agreement. This agreement remains valid even after the end of the employment period. The systems can only be accessed by those who are required to process the data in order to perform their tasks.
Rights of the registrant
The rights of the registered person are determined according to the processing basis. The registered person has the right to ask the controller for access to personal data concerning him and the right to request the correction or deletion of the data in question or to limit or object to the processing, as well as the right to transfer the data from one system to another. The registered person has the right to withdraw their consent to the processing of their personal data at any time. In addition, the registered person has the right to file a complaint with the supervisory authority. The contact person in matters related to the data subject’s rights is the data protection officer.
Purposes and nature of personal data processing
Users who register for courses or subscribe to the newsletter are added to a separate customer register maintained by Itsellesi Oy, which stores the user’s name, email address, and other contact information, as well as task completion data from the courses completed by the user. We use the customer register to manage courses, market our products, send a newsletter, and possibly be in contact with developing our services.
The website, as well as the third-party services it uses, can automatically collect technical data when the end user uses the software service. Technical data may include the name of the web browser, the type of computer or device used, the time spent on the website, information describing the use of the software service, the URL of the websites that the end user visited immediately before or after visiting the software service, the date and time of the visit, IP address, operating system, and the Internet service provider used, as well as other similar technical information.
The software on the website uses various technologies to collect and store information, including cookies. Cookies allow tracking the number of users visiting the site and monitoring the use of the site. The information is used to develop the services of Itsellesi Oy. Cookies make using the software service easier, for example, by remembering usernames, passwords, language choices, and other choices. The software service may also use tracking and analytics cookies that analyze how end users receive the software service. The end user can decide to set his browser to reject cookies. In this case, some parts of the software service may not work correctly.
The software service uses Google Analytics and other web analytics services to produce user behavior reports and develop the provider’s services.
The software service does not perform profiling or automatic decision-making based on the end user’s personal data.
Under no circumstances does the site collect or process special personal data groups mentioned in the EU’s General Data Protection Regulation. The site does not make automatic decision-making or profiling.
Purpose and legal basis for the processing of personal data
The collected personal data is used for:
- managing the licences of the web course
- enabling the contact required for the web course
- learning guidance/evaluating coursework
The personal data accumulated into logs from completing the web course is used for:
- monitoring server and data communication capacity
- investigating technical problems and misuse situations
- monitoring the active participation of the students
Description of the groups of data subjects and personal data groups
With your consent, the following data is retrieved from your home organisation every time you sign in to the service:
- E-mail address
The software service of this web course may collect and process the following user data: (i) first and last name; (ii) e-mail, (iii) location when using the software, (iv) student number or other client reference, (v) other personal data provided by the end user, such as photos (when creating a user profile, for example), answers to tasks, comments in discussions, as well as other data and files added by the end user. The software service does not collect nor process data classified as belonging to special categories of personal data in the GDPR.
The groups of data subjects consist of the web course users, who are the students in the course.
In case the student requests their data to be delivered to Kajaani University of Applied Sciences to receive credits from the course, the following data will be collected:
- E-mail address
- Personal identity code for Finnish subjects
- Date of birth and nationality
- Postal address
This data will be used for registering for the course completion, as well as delivering the transcript and the course certificate.
Transfer of data outside the EU or the EEA
The data is not transferred outside the EU or the EEA.

The provider of this web course does not retain personal data for longer than is compliant with the GDPR, and necessary for those purposes for which the personal data has been collected. The software service retains the data for up to 30 days after the client relationship has ended or after the end user’s licence to the software service ends, to ensure the reliability of their service.
Rights of the data subject
The rights of the data subject are defined according to the purpose of data processing. The data subject has the right to access their own personal data, the right to to rectify the data, the right to erase the data, the right to restrict or object to the processing of the data, and the right to transfer the data from one system to another. The data subject has the right to withdraw their consent for data processing at any time. Additionally, the data subject has the right to make a complaint to the supervising authority. The contact person for matters related to the data subject’s rights is the data protection officer, whose contact information can be found in part 5 of this statement.
